One of ADHO’s most visible activities is its annual international Digital Humanities conference, usually held in July or August in venues around the world.
The Conference Officer and Deputy Conference Officer are responsible for developing, improving and maintaining the ADHO Conference Protocol and accompanying guidelines, and coordinating the annual conference. This position has a three-year term with the first year as Deputy Conference Officer (beginning immediately following the DH2026 Conference), and the second and third year as Conference Officer (after DH2027 through the end of DH2029).
The role of Deputy Conference Officer entails communication with ADHO Boards, Local Organizers, Program Chairs, disciplinary communities etcetera. Therefore, previous experience with the organisation of conferences, the administration of Conftool, and/or involvement in DH associations and communities is important.
Responsibilities of the Deputy Conference Officer (in collaboration with the Conference Officer):
- Maintaining the Conference Protocols and ensuring that they are followed by the Local Organizers (LOs), Program Committee (PC), and others involved in the annual Digital Humanities Conference;
- Issuing the call for bids for the ADHO international conference, providing detailed information to those who are interested in bidding for the conference, providing feedback to initial bids; determining whether revised bids should be passed on to the COB and the EB, and making recommendations to the COB and EB about revised bids;
- Drafting and administrating the Memorandum of Understanding between ADHO and the LOs.
- Assisting the LOs with the configuration and administration of the pertinent Conftool platform and processes.
- Maintaining an annually updated list of the pool of reviewers for the conference;
- Maintaining the draft-model call for proposals from which the PCs draft each year’s individual CFP, and ensuring email lists are established for each year’s PC and that PC members are promptly subscribed to it;
- Reviewing requests for additional languages to be added for a particular conference and innovations to the conference submission formats;
- Advising and supporting the PC chairs and LOs during the organisation of the conference.
- Reviewing requests for in-name sponsorship of digital humanities conferences, and approving presentations by sponsors together with the PC;
- Maintaining the draft-model report of the conference, receiving preliminary and final reports from LOs and PC chairs, and conveying them to the COB and EB for review;
- Conducting a brief survey of conference participants after its conclusion.
